Finance Operations Lead / Chief of Staff
Digital Assets Investment Banking & Strategic Advisory
Location: Berlin| Europe (remote-friendly)
Level: Mid-level | High-potential operator role
The Opportunity
RecruitBlock is working with a fast-growing, founder-led digital assets investment banking and strategic advisory firm, to appoint a Finance Operations Lead / Chief of Staff.
As the business scales this role is being created to take structured ownership of the financial, operational and coordination workstreams that currently sit across the founding team.
This is a high-trust, high-impact operator role for someone who enjoys being close to decision-making, thrives on execution, and wants broad exposure across finance, people operations and strategic initiatives within a professional services environment.
Firm Context
Our client operates at the intersection of digital assets, capital markets and M&A, advising founders, management teams and investors on complex strategic and transactional matters.
The firm combines deep sector expertise with a founder-driven, low-bureaucracy culture and is now entering a phase where strong internal operations are critical to sustaining growth while maintaining speed and quality.
Role Overview
As Finance Ops Lead / Chief of Staff, you will act as the internal connective tissue of the firm — working closely with the founders to ensure the business runs smoothly beneath the surface.
You will take ownership of:
· Core finance ops processes
· People ops and legal hygiene
· Cross-functional execution on internal initiatives
· The internal business development operating rhythm
This is not a narrow finance ops role, nor a role for an experienced CFO or a purely administrative Chief of Staff position. It is an operational role with touchpoints across finance, legal, operations, BD and HR.
What Success Looks Like (6–12 Months)
Within your first year, you will have:
· Brought clarity, structure, and reliability to financial and operational backbone
· Become the primary interface with external accountants, payroll providers, legal counsel, and HR partners
· Ensured employee and contractor agreements, internal policies, and documentation are clean, consistent, and up to date
· Taken ownership of execution on cross-functional and strategic internal projects
· Established a disciplined, reliable business development operating cadence across the firm
Key Responsibilities
Finance & Operations
· Act as primary point of contact with external accountants, tax advisors, and payroll providers
· Support budgeting, cash flow tracking, invoicing discipline, and basic management reporting
· Ensure clean handling of expenses, reimbursements, and internal financial processes
· Maintain operational hygiene across finance-related workflows
People Operations & Legal Hygiene
· Own employee and contractor agreements, including templates, updates, and coordination with legal counsel
· Support onboarding and offboarding processes, including documentation and access coordination
· Act as a central coordination point for HR-related topics (without being a pure HR role)
· Ensure internal policies and records remain accurate and current
Chief of Staff / Special Projects
· Drive cross-functional operational and strategic projects (processes, tools, internal structures)
· Support off-sites, internal workshops, and company-wide planning sessions
· Prepare internal materials, notes, and structured follow-ups for leadership discussions
· Ensure decisions translate into execution and accountability
Business Development Operations
· Own the internal BD operating machine: tracking outreach, follow-ups, and pipeline hygiene
· Maintain a single source of truth across CRM / Notion / spreadsheets
· Chase inputs, close loops, and ensure accountability across the team
· Organise recurring BD reviews, pipeline sessions, and follow-up actions
Who This Role Is For
This role is a strong fit if you:
· Have 3–7 years of experience in operations, finance, consulting, investment banking, venture, or a high-performance startup
· Have worked close to founders or senior leadership and enjoy that proximity
· Are comfortable operating across finance, legal, people, and strategy without rigid role boundaries
· Enjoy being the person who makes things work rather than owning a narrow functional silo
· Thrive in fast-moving, low-bureaucracy environments with high expectations
· Motivation to accelerate career and transition into a business leadership role over time.
Skills & Attributes
Essential
· Highly structured, reliable, and detail-oriented with strong execution follow-through
· Strong written and verbal communication skills
· Comfortable interacting with external advisors and senior internal stakeholders
· Natural ownership mentality — you close loops without needing constant supervision
· Pragmatic, business-minded, and focused on what actually moves the company forward
Nice to Have
· Exposure to professional services, finance, or digital assets
· Experience building internal processes from scratch
· Familiarity with tools such as Notion, basic CRMs, and simple financial dashboards
Why This Role
This is a career-defining operator role for the right person.
You will gain:
· Broad exposure across finance, operations, people, and strategy
· Direct access to founders and senior decision-making
· Increasing scope and responsibility as the firm scales
· The opportunity to become a core pillar of how the business operates, not just a support function
The right candidate will grow with the business as it evolves into a more institutional organisation — without losing its founder-driven speed.
